Job Description

The Lease Administrator is responsible for reviewing and abstracting lease documents for their assigned real estate lease portfolio.  This position also monitors and updates any changes relative to their lease portfolio.  Excellent communication and organizational skills are a must, especially when interacting with both internal customers and landlord/property owners.  As well as strong attention to detail and accuracy is required.

Starting salary: $19.23 per hour

Responsibilities

  • Review, analyze and abstract lease documents into company database (AMT/MRI) accurately, completely and timely.

  • Update/maintain information in company database (AMT/MRI) with complete accuracy; including, but not limited to:  Landlord/Ownership changes, Operating Expense estimate changes, internal/external contact information and the upload of supporting documentation.

  • Process monthly rent files for assigned lease portfolios – obtaining financial approval and submission to the Accounts Payable department.

  • Research rent account statements, communicate with landlords on any discrepancies relative to billing statements and reconcile accounts as needed.

  • Prepare “request for payments” as needed.

  • Monitor and manage both incoming mail and email box for assigned lease portfolios.  Manage and/or distribute/forward mail/email to appropriate team members.

  • Obtain Certificates of Insurance (COI) as requested.

  • Demonstrate high quality customer service when supporting our department, other internal departments and field operations as well as external landlords and customers.

Qualifications

  • ­­­­­­­­­­­High school diploma or equivalent with minimum 2 years of experience in real estate/lease administration/contract administration.

  • Proficient computer skills including Microsoft Office required as well as any type of lease admin software experience is a plus.

  • Excellent communication and organizational skills required.

  • Strong attention to detail, analytical and accurate work product required.
